Office Manager
Seasonal (Mid-May through October), Full-time (flexible days but will include some weekends depending on shifts)
We are looking for a proactive, organized Office Manager who can make this position their own and be a key part of our team during an important period of transition and growth. This role includes room for expansion, especially in helping improve and modernize our financial and administrative systems.
The Office Manager is the central hub of daily operations, supporting customers, members, students, and staff while keeping the office running smoothly and professionally.
What You’ll Do
Customer Service & Front Desk

Serve as the main point of contact for all inquiries

Book scenic rides, greet guests, take payments, ensure safety protocols are understood

Schedule flight instruction and support students

Assist visiting pilots and manage transient aircraft fees
Membership Support

Assist current members with scheduling and account questions

Onboard new members and ensure all admin steps are completed
Office & Operations
-
Maintain office organization, filing systems, and correspondence

Order merchandise, supplies, and operational items
-
Keep the workspace safe, tidy, and efficient
Finance & Systems

Process invoices, track expenses, handle petty cash

Complete month-end reporting and credit card reconciliation

Enter daily flight data and invoice customers in QuickBooks

Support improvements to financial processes and help modernize administrative systems
Human Resources

Onboard new employees and maintain personnel files

Coordinate staff schedules and submit biweekly timesheets

Supervise part-time front desk staff and contract cleaner
What We’re Looking For

2+ years of office administration or management experience
-
Strong communication skills and attention to detail

Ability to work independently and take initiative

Comfortable working with youth and the public

Positive attitude, quick thinking, sense of humor

Marketing/social media skills a plus

Aviation background helpful but not required
-
High school diploma required; higher education preferred
